Joel Mogy Investment Counsel is a boutique investment management firm located in Beverly Hills. The firm has been in existence for over 30 years. We are currently seeking a full-time Administrative Assistant/Receptionist.

? Work hours: 8:30AM to 5:30PM

? Compensation: Based on experience, and includes benefits (medical, dental, $2,500 for medical expenses, free parking, vacation/sick/holidays)

? Interview process:
o Telephone interview (20 minutes)
o Onsite interview with work aptitude test (1.5 hours)
o Second onsite interview with 4 people (1.5 hours)
o Finalist interview (1 hour) and background check

? Requirements:
o Sign confidentiality agreement
o Background check
o Business attire
o Professional presence and good work ethic (i.e., positive, no gossip, no texting)
o Upbeat and friendly (you will be the face of the company -- the first person visitors see and the person employees go to on a regular basis)
o Efficient (work smart) and work at a fast pace with accuracy
o Accustomed to working under pressure and meeting tight deadlines
o Excellent written and verbal communication skills
o Detail oriented and accurate
o Excellent project management skills (i.e., juggle multiple assignments at one time, prioritize)
o Mature enough to communicate effectively with senior clients.
o Great Excel (i.e., filter, sort, massage data) and Word (i.e., formatting, mail merge) skills.
o Must obtain notary certificate (firm will pay)
o Experience working in an investment management firm is a plus.

? Responsibilities:
o Front desk coverage, greet guests and phone coverage (answer calls, screen calls, make calls for CEO, messages, log calls, check voice mail, etc.)
o Office gatekeeper (i.e., parking validation, order lunches, coordinate deliveries, office management requests, coordinate rug cleaning, purchase new furniture/appliances)
o Morning duties:
? Turn off answering service and obtain messages.
? Kitchen: Put away clean dishes.
? Turn on and set-up CEO's computer.
o Evening duties:
? Send email to team with CEO's meetings for next three days.
? Light cleaning in kitchen, and turn on dishwasher.
? Turn on coffee maker to start brewing at 7:30AM.
? Turn on answering service.
? Lock front door.
o Check fax machine throughout the day.
o Schedule meetings.
o Run reports for clients and investment advisors.
o Print research for investment advisors.
o Custodian reconciliations.
o Sort and distribute mail
o Type dictation.
o Phone system maintenance.
o Maintain contact information.
o Shop for kitchen supplies.
