Part-Time: 30+ hours a week (including some evening phone meetings each week and occasional weekends)
Location: Pasadena area, CA
Salary: $17 - $20/hr (depending on experience)

Background
We are a non-profit statewide professional membership association of Naturopathic Doctors in California. Licensed Naturopathic Doctors (NDs) are primary care doctors who combine conventional diagnostics with nutritional medicine and natural-based medical therapies in a consultative environment to treat chronic and acute health problems. NDs use the safest, least invasive therapies first, prescribing pharmaceuticals only when necessary.

California is the largest state to license Naturopathic Doctors and the number of licensees is growing quickly. There is a strong demand for our services and we will grow as more doctors become licensed and join the association. We are taking a leadership role in several aspects within the profession:
? We provide strong support for our members while strengthening the scope of practice for Naturopathic Doctors in California through the legislative process.
? We run top-notch continuing medical education (CME) events for our members and non-members.
? We are working to raise funds and secure grants to establish community clinics in California, develop PR and consumer awareness campaigns, and we will establish a new Naturopathic Medical School in California.
? We coordinate activities among other major states and our national association.

Job Description
Required skills and attributes:
? At least 3 years experience as an Executive Assistant or Associate Director
? MS Office mastery: Word and Excel required; PowerPoint a plus
? Website maintenance expertise; preferably WordPress and HTML
? Experience with maintaining social media sites for a business
? A strong writing ability with an aptitude for developing clearly written documents for public consumption and internal use
? Pleasant demeanor and well-developed interpersonal skills
? Strong work ethic, dependable, punctual
? Self-motivated, efficient, organized and proactive work habits
? Ability to prioritize workload in order to meet deadlines
? Ability to multi-task and adjust to changing priorities

Preferred skills and attributes:
? Experience organizing and hosting meetings
? QuickBooks Accounting - ability to make basic entries and run reports
? Customer service experience
? Experience in organizing events and conferences
? Fundraising experience helpful
? Experience in membership association management
? A background in healthcare and a passion for natural and alternative medicine

Job Description Details

Communications
- Prepare or update communication emails/documents to members including monthly newsletter, informational documents and guides, informational brochures, conference brochures, etc.

Social Media
- Actively update social media sites including Facebook and Twitter

Project Management
- Actively maintain our project management system (TeamWork) and calendar

Membership services
- Maintain accurate membership records and process new membership applications (new members & renewals)
- Answer phones and provide customer service
- Write and send out email communications and mailings
- Update existing membership and association documents
- Management of Membership website

Payment Processing
- Processing payments (dues, events, donations, etc.)
- Make entries in QuickBooks
- Keep track of all payments and reconcile books
- Prepare bank deposits
- Maintain records of donations and send thank you letters

Continuing Education Conference (two weekend conferences a year)
- Keep track of registrations and payments
- Coordinate exhibitor payments and activities
- Aid in overall organization of conference (room layouts, exhibitor space, etc.)
- Prepare conference handout book
- Attend the conference and set-up and run registration and manage volunteers
- Provide onsite service to attendees, exhibitors, and speakers
- Assist in recording and editing audio of conference
- Prepare post-conference attendance and evaluation reports
- Process and mail CE certificates to attendees

Continuing Education Webinars (four online live webinars a year)
- Keep track of registrations and payments
- Help set-up webinar and pre/post presentation pages
- Attend and record webinars
- Be available for technical support
- Prepare post-conference attendance and evaluation reports
- Process and mail CE certificates to attendees

Continuing Education Home-Study Programs
- Keep track of orders and payments
- Prepare and mail out CDs or webinar links
- Keep track of self-certification returns
- Process and mail CE certificates to attendees

Continuing Education Accreditation Reviews
- Keep track of CE review requests from outside providers
- Coordinate review by committee
- Process fee payments
- Report approvals to applications
- Keep track of all accreditation approvals
