PART-TIME ADMIN ASSISTANT FOR UCLA PROFESSOR, FLEXIBLE SCHEDULE (Westwood)

Primary responsibilities:
? Organizing conference calls, meetings and calendars
? Assisting with the preparation of grant applications and IRB submissions
? Maintaining curriculum vitae, biosketch and grant support documents
? Maintaining faculty website
? Photocopying, faxing
? Formatting manuscripts for submission to academic journals (including reference management)
? Correspondence
? Conducting literature reviews and Internet searches
? Arranging domestic and international travel
? Preparing reimbursement forms
? Entering data
? Taking charge of additional duties as assigned

Qualifications:
? Bachelor's degree
? At least 1-3 years of administrative experience
? Highly organized with a meticulous attention to detail
? Ability to multi-task under deadline, balance competing priorities and solve problems creatively
? Friendly, collaborative disposition
? Excellent verbal and written communication skills
? Strong MS Office skills, including Word, PowerPoint and Excel
? Experience using Dreamweaver is a plus but not required

? read, monitor, and respond to email and telephone inquiries
? prepare correspondence on her behalf
? manage and update her calendar
? liaison with non-profit staff, university faculty and students
? arrange meetings and prepare meeting/lecture itinerary
? prepare presentations and/or papers for lectures
? assist with day to day errands (e.g. dog-walking, pick up medical prescriptions, etc.)

The ideal candidate is a college graduate with an interest in public art, muralism, art education, and/or civic engagement fields. Must commit to working 20 hours a week. Computer literate. Reliable vehicle with a valid driver's license is required. Light travel will be required as part of PA duties. Good communicator with the ability to multi-task and prioritize. Good time management is a MUST. MAC Proficient.
