Rusnak is looking for a self-starting Executive Assistant who thrives in a fast paced environment to support its CEO. This position will be responsible for handling a wide variety of administrative duties and will have the following skills and qualifications:
KNOWLEDGE, SKILLS AND EXPERIENCE
?At least 5+ years experience as an executive assistant required. Legal background helpful ?Bachelors degree required
REQUIREMENTS
?Strong sense of responsibility and ownership
?Excellent attention to detail.
?Ability to complete assigned tasks without prompting.
?Ability to spot and independently follow up on open action items.
?Excellent proofreading skills.
?Excellent written communication and interpersonal skills that result in the ability to work effectively with executive management and other employees and vendors.
?Excellent phone skills, answer and screen calls, maintain calendars, and schedule meetings.
?Excellent multitasking and organizational skills.
?Manage company contract / legal matter database and all associated files.
?Ability to provide cross-departmental support.
?Meticulous office setup and maintenance skills.
?Solid experience with setting up, filing and maintaining office records, filing systems, databases and sending and retrieving records from storage.
?Thorough knowledge and ability to prepare and send faxes, prepare and send overnight packages (both in the U.S. and overseas), prepare and scan documents and images, prepare and submit expense reports and handle related credit card statements and expense receipts.
?Ability to manipulate and maintain databases to track deadlines, correspondence and agreements.
?Mastery of Microsoft Office Suite. Ability to create or enter and edit (and create red-lines thereof) all types of documents including letters, faxes, e-mails, presentations and contracts.
?Ability to conduct web-based and other research and investigations.
?Pleasant and professional office demeanor.
?Team player willing to work with other assistants and staff at all levels; patience, unquestioned integrity; ability to keep sensitive matters confidential; ability to work with variety of individuals
