Job Description

Office Manager for commercial real estate management and investment office, with light Personal Assistant duties to and assist owners in administrative responsibilities. The ideal candidate is expected to perform the tasks below in a professional, diligent and efficient manner. Fluency in Tagalog or Mandarin Chinese is a plus.

Qualifications

Office Manager responsibilities include but are not limited to the following:

General office duties include fielding all incoming telephone calls and routing as required, coordinating schedules of other staff members, general filing, and miscellaneous correspondence.

Open mail; heck incoming faxes and distribute to designated inbox-es.

Maintain inventory of office supplies and ensure office cleanliness and organization.

Responsible coordinating company's internal celebrations (birthdays, anniversaries and other recognition).

In charge of all incoming and outgoing mail (domestic or international).

Work with management to coordinate repair of office equipment and remediation of computer related problems across business and residential properties.

Prepare Journal entries and bank account reconciliation.

Responsible for Pitney Bowes Account Vendor relationship.

Process Accounts Payable and Receivables.

Retrieve and disseminate all incoming mail to appropriate staff members.

Act as point of contact in office for billing and other critical documentation. Must route to appropriate personnel for review and action.

Coordinate special events at properties, holiday programs, gift mail outs, etc.

Prepare time-sheets and ensure meal and break periods are taken. Conduct daily inspection of all checklist items.

Assist with banking and remittance

Input information on Quick Books and Yardi software and cut checks.

Monitor United Healthcare billing and match with EOB then process payments.
Every end of each day, make sure that lights, copier, fax machine, ceiling fans, AC are turned off.

Personal Assistant responsibilities include but are not limited to the following:

Running errands and driving company executive if needed.
Perform reasonable ownership requests for personal healthcare, transportation travel needs and administrative assistance.
Supervise and inspect daily housekeeper office cleaning and maintenance issues.
Coordinate, Supervise and inspect housekeeper on all household tasks during owners absence.
Coordinate resolution of technology problems.
